CARET Legal License Management FAQ’s

Welcome to the CARET Legal License Management FAQ's! We understand that there can be questions regarding license management, so we've put together a guide to help answer some common questions.

Minimum License Requirements 

  1. All subscriptions carry a minimum number of licenses, which is initially determined at the time of enrollment and is reestablished upon renewal, including but not limited to multi-year subscription terms.
  2. If a user is added without there a vacant license available, a new license is created, which raises the minimum number of licenses for the remainder of the subscription term.
  3. To reduce the minimum license quantity, simply provide written notice at least 30 days prior to renewal, and ensure that your active/billable user count does not exceed the requested license count. The change will be applied upon renewal.

Managing Your Licenses 

  1. You can find your licensing information, including subscription expiration date, in the Firm Settings under “Plans & Payments.  
    • Should you have any questions about your subscription billing, please contact billing@zolasuite.com for clarification. 
  2. Licenses are not permanently tied to individual users. Deactivating users alleviates the licenses they occupied, which can then be filled by the next users added without charge as the license has already been purchased.
  3. If there are no vacant licenses available to be filled, a prorated charge based on the day the users were invited will be generated. We recommend inviting a user closely to when they will begin logging in to avoid paying more than is necessary, as well as deactivating unnecessary users as soon as possible.
  4. Once a user is invited, they are immediately activated in the system and must occupy a license.
  5. We discourage the modification of an existing user to a new user's information; this will change the historical data to the new user's name. 
  6. All users managing and/or having data managed within CARET Legal are required to have their own unique logins.
