What is the difference between a Task and an Event?

An Event is a one-time occurrence. For example, this may be an initial consultation with a prospective client. When an Event is placed on your Calendar there is an option to invite others and set reminders leading up to the date and time of the occurrence.

A Task, on the other hand, is an activity that must be performed by a given date, think of it as an item on your to-do list. For example, a Task may include drafting a pre-trial motion. A Task can be assigned by another firm member. You will receive notifications for a task you are assigned to when it is completed or past due.

How to view an Event

Navigate to your Calendar section to display your calendar containing existing events.

How to view Tasks and Events from your  Matters

Navigate to the Matters section, then open a Matter to display the details. Each Matter contains a Tasks and an Events tab where you can view the corresponding items associated with the Matter.

How to create new Tasks and Events

Click Add.pngat the top to access the Quick Add menu, then select New Task or New Event to display the corresponding New modal.

To create a Task:

  1. Click the Tasks icon on the Navigation bar to display your lists of tasks, then click + on the tab bar to display the New Task modal.

  2. Complete the fields:
    • The Task Subject is the only required field indicated with a purple bar.
    • The Due Date is also necessary. The default is today's date at 5:00 PM. To edit the default click on the icons to use the Calendar controls or the Time drop-down list.
    • Optionally, you can:
      • Enter a Description.
      • Set the new task as a Priority, Phone Call or Private.
      • Color-code your tasks.
      • Select an option from the Tags drop-down list.
      • Associate the task to a Matter/Lead by selecting an option from the drop-down list.
      • Select a Status from the drop-down list.
      • Click Add a reminder to display a list of options as to how you want to be notified.

    • You can also click on the tabs to Attach documents, set the task as Recurring, add a Template and Sub-tasks.

Click Save & Close or Save & New if you wish to save and continue adding tasks,

To create an Event:

  1. Click the Calendar icon on the Navigation bar to display your calendar, then click + on the tab bar and select Create New Event from the drop-down menu to display the New Event modal.

  2. Complete the fields:
    • The SUBJECT is the only required field indicated with a purple bar. You can select the Security icon to select an option from the drop-down list.
    • The FROM and TO fields are auto-filled. To edit the defaults click on the icons to use the Calendar controls or the Time drop-down list or select the All-Day checkbox. Click Calculate... to open a Date Calculation modal.

      • Complete the fields by entering or selecting options from the drop-down list, or toggling the sliders to enable the features.
      • Click Use this Date to use these calculations with the event you are in the process of creating, or Save as new template to use the calculations later.
    • Optionally, add a Description.
    • Select an Event Owner from the drop-down list. The default is the originator. 
    • Select either Firm or External as the Attendee Type. The default is the Firm.
    • Select users from the Add a User drop-down list. Their names appear below this field. Select the checkbox(es) beside a name to include that person in this event.
    • Enter or select a Matter/Lead from the drop-down list.
    • Click Add a Reminder to display a list of options as to how you want to be notified.

  3. Click Save to complete the process.
