Importing Journal Entries Using a CSV Template
You can quickly create journal entries in Caret Legal by importing a CSV file. To ensure your file is formatted correctly, we provide a downloadable template.
A downloadable CSV template is available at the bottom of this article for your convenience.
Before You Begin
The CSV template option becomes available only after you enable the Import CSV feature in the New Journal Entry window.
Open the Import Tool
- Navigate to Accounting > General Ledger > Journal Entries and select 'New Journal Entry'.
Fill out all required header fields and select 'Save'
โ ๏ธ The Import CSV option will remain unavailable (grayed out) until the journal entry is saved.
Enable and Access the CSV Template
Once your journal entry is saved:
- Click Import CSV (now enabled).
- Youโll see a โTemplate requiredโ message with an information icon.
- Hover over the information icon.
Click Get CSV template in the pop-up.
๐ก You can move your cursor from the icon into the pop-up without it closing.
Download and Prepare the Template
- Clicking Get CSV template opens a help article in a new browser window.
- Download the template and enter your data.
Important Formatting Rules:
- Do not change the column headers.
- Keep the exact column order as provided.
- Ensure all values are entered in the correct format.
- Enter Account, Department, Class, and Location names exactly as they appear in the system.
- The file must be saved in CSV (.csv) format to upload successfully. Do not leave the Debit or Credit columns blank.
If a value does not apply, enter 0 instead of leaving the field empty.
โ ๏ธ If names do not match exactly, you will receive a warning during import.
โ ๏ธ Blank values in Debit or Credit fields will cause the import to fail.
Import Your CSV File
- Return to the saved journal entry.
- Click Import CSV.
- Attach your completed CSV file.
- The system will automatically parse the file and populate the journal entry lines.
Tips for Success
- Always start with the provided template.
- Double-check spelling for all account-related fields.
- Ensure your browser allows pop-ups so the template link opens properly.
