00:12: This particular session is going to cover our

00:17: carrot legal

00:19: analytics for those customers who have

00:23: insights.

00:24: So again you would need the subscription of enterprise

00:29: insights okay

00:31: um if you have enterprise advanced and you're watching this training session just to

00:35: get an idea of what the differences are

00:39: we are going to cover that and we're going to take a look at just what is the main

00:43: differences as well as the

00:48: capabilities of insights all the way through okay

00:52: All right, well,

00:53: hopefully, if you are tagging along, you have clicked on analytics and you can

00:56: follow along on your screen. If you are like myself, and you would prefer to just

00:59: watch

01:03: and then go try it on your own, you can also

01:06: take that approach.

01:09: If you notice, we are currently on

01:12: the analytics

01:14: dashboard here. That's what this screen is. And more specifically, we are on the

01:18: carrot analytics resources. So

01:23: if you watch the carrot analytics intro

01:26: training,

01:27: or if you've attended that training, then you know what screen we're on now. But if

01:31: you have not attended that training,

01:34: let me get you up to speed very quickly. When you are on carrot legals main

01:37: dashboard,

01:41: you can click on analytics and that will bring you right into

01:45: your analytics

01:47: dashboards.

01:49: And my particular

01:51: dashboard is gonna bring me in at my staff dashboard

01:55: And we're going to talk about these in a moment,

01:57: but more specifically, I am going to show you to go over to the left-hand side. I'm

02:01: going to show you that again, because it kind of pops up very quickly.

02:05: Go to the left-hand side towards that hamburger

02:08: and, or the three slashes.

02:10: And whenever it opens up, it looks like this. It's a dashboard menu. Okay.

02:16: I am going to be starting on the carrot analytics resources here.

02:22: All right, perfect.

02:25: So what are we going to cover specifically for insights? We are actually going to

02:28: test our skill at

02:31: building out a dashboard.

02:33: And we are going to create

02:35: two different cards, aka reports on this particular session.

02:40: Okay, so you'll have hands-on experience even if you watch the video or if you come

02:43: back and attend another training,

02:46: you will get hands-on experience with creating cards. It

02:49: also gives you a good feel for what you need to know before you jump in and start

02:53: creating dashboards and cards.

02:57: All right, so let's go ahead and start. This dashboard that we're on, I'm just gonna

03:00: talk briefly about what these dashboards have on them.

03:03: These are our standardized dashboards. What does that mean?

03:07: that means that anybody that has a subscription to

03:12: enterprise or plus i'm sorry

03:15: enterprise plus or enterprise insights

03:18: would have our standardized dashboards and let me point them out if i go to this

03:22: left hand menu

03:24: it's the analytics resources bookkeeper staff dashboard and responsible attorney

03:29: those are dashboards that are built out

03:32: by our carrot team

03:34: and maintained by our carrot team

03:37: okay

03:39: and again that is for both

03:42: the enterprise plus and enterprise

03:46: your insights and remember the main difference between

03:51: having an enterprise plus and enterprise insights is that insights

03:57: allows you to actually create your own dashboards and your own cards and your

04:00: reporting okay

04:04: whereas the

04:06: Enterprise Plus only allows you, you don't want to limit it and say only, but it

04:11: does not have the ability to build out your own.

04:15: All right, so back to this dashboard, Kara analytics resources is a dashboard that

04:21: allows you to attend one of our webinars, our sessions and trainings on analytics.

04:26: It also gives you some resources

04:29: to help you get started for those insights customers to

04:33: start building out

04:34: your reports or dashboards.

04:37: Now these help articles right here are specifically from

04:41: Domo

04:42: and Domo is,

04:44: actually the host of our

04:46: analytics

04:47: we just have it built into carrot legal

04:50: okay

04:50: but they have some great help videos and how-to articles so we just put those in

04:54: here for you to help you out

04:59: okay

04:59: what is the data dictionary the data dictionary is a mapping tool so if you were

05:05: thinking in analytics

05:06: you see a field and you want to know where it maps to back in

05:10: carrot legal

05:11: you can simply come over here and i give the example of clicking on soft cost

05:16: select soft cost

05:18: this would be what it looks like

05:20: the field name

05:21: in analytics

05:24: and then specifically,

05:25: or I'm sorry, the dataset and then the field name would be

05:29: right here. If you wanted the

05:30: soft cost total,

05:32: where does that pull from? It pulls from the matter page

05:35: under the time and expenses

05:37: expenses. So it kind of maps you to where it's pulling that from in carrot legal.

05:41: Okay.

05:42: Great resource for those of you building out your own reports.

05:46: And then, last but not least, is our pro serve link here

05:51: now

05:52: pro serve or our professional services team

05:54: is a team that actually can build out

05:58: the dashboards

05:59: cards and reports for you.

06:02: This is a service offered for firms who

06:05: just don't have the bandwidth

06:07: to build out their own, maybe

06:09: you're a solo practice or

06:12: you know,

06:13: not a large user firm

06:16: and you don't have somebody on staff that has the time

06:20: or skill set to build out your own dashboards or reports, you can reach out to our

06:46: So that's what this button does, but ultimately you can also work through us.

06:52: Okay. Alrighty. So,

06:55: Let's talk about the next kind of thing here, which is who has access to these

06:58: standardized dashboards that we create.

07:02: And then later we'll talk more about how you can control access for the Insights

07:06: customers, how you can control access to who has dashboards to the, who has access

07:10: to the dashboards that you create, okay?

07:15: So for right now, let's talk about the standardized dashboards.

07:18: Again, we go into better

07:19: kind of better detail on these on the intro training

07:23: analytics intro, but for just

07:26: purposes of making sure you've heard it before, I'm going to cover it again here.

07:31: So bookkeepers

07:33: are for

07:35: pulls from the permissions from carrot legal, and this would be for your accounting

07:40: and admin staff so if they are set up in your um carrot legal

07:46: the user is set up as the accounting

07:49: or

07:50: admin they'll have access to the bookkeeper dashboard

07:54: and the main reason for that is because it has a firm financial data in here such as

07:58: how much is outstanding in ar how much is outstanding in

08:02: accounts payable

08:03: um

08:04: some different collection metrics here so

08:07: This information, again, is standardized. Our team sets it up, but we only make it

08:12: available to the accounting team members that you have set up in Carrot Legal and

08:16: your system admins

08:20: from Carrot Legal. Going

08:22: back over to the side menu,

08:24: you have a responsible attorney dashboard.

08:28: And that responsible attorney dashboard, again, is meant for our accounting

08:33: and system administrators.

08:35: And this is really about some

08:38: higher level firm management

08:40: looking at their different responsible attorneys

08:43: metrics here. Okay.

08:45: So you'll have things like how many matters they have, what their team performance

08:49: looks like, et cetera.

08:53: And last but not least, if you go to the staff dashboard,

09:00: Now I have to change my date online, so bear with me for a second. And I'll cover

09:02: this in a moment as well.

09:04: But

09:05: this would be for

09:08: each staff member that clicks on analytics at your firm will by default have access

09:12: to this dashboard, staff dashboard.

09:17: Okay,

09:17: now if they don't enter time and they don't have any time for themselves, then they

09:20: may not see any numbers building kind of like it was when I first came into here. So

09:23: let's

09:26: just go with today, right? I don't have any data for today.

09:31: But I went in here and updated it for this year.

09:36: So I could actually display data for you all.

09:39: The key takeaway here is if

09:42: each one of your staff members wants a dashboard, this is the dashboard that Carrot

09:44: Legal built out so that,

09:47: I don't know, so they wouldn't feel left out,

09:49: but also

09:50: so that they could see dashboard information that was relevant to them.

09:54: So how many hours they worked,

09:56: how does that break down if they do time entries, those time entry categories are

10:00: displayed here, how much they've billed.

10:04: And then if we scroll down a little bit, it shows them their month over month

10:07: productivity.

10:10: And then last but not least is probably my favorite here. This is a task calendar.

10:14: So for those of you who are used to seeing

10:18: maybe events

10:20: on your calendar, right, appointments, deadlines, and meetings,

10:23: this particular calendar

10:25: in our staff dashboard allows us to see what task we have upcoming

10:31: okay

10:32: so i really like that and this dashboard again is for all staff

10:35: so it's not limited to just those

10:38: um

10:39: financial aspects that our accounting and

10:42: firm administrators would have

10:45: alrighty so let's just take a quick second and we are going to move on

10:50: to just some navigation

10:53: kind of

10:54: functionalities here, how to move around in here, okay, or how to get around.

11:00: Okay, so the

11:02: thing that I'll mention next is that really your system admins are the ones that are

11:07: going to be able to create dashboards and maintain them

11:12: in analytics.

11:14: And we're going to talk about how to

11:17: see who the owner of a dashboard is, as well as how to share that dashboard with

11:20: others.

11:24: We're gonna talk about

11:26: sharing

11:27: dashboards as a report

11:29: that you send via email

11:31: and you can send it one time versus many times like on a regular cadence. So we're

11:34: gonna take a look at that.

11:38: We're also gonna going to talk about what if I just want to

11:42: and share the dashboard, but lock all the cards on that dashboard or all the

11:45: reports, if you will.

11:48: So nobody can change it, but they can still see it. What does that look like for us?

11:51: So we're going to talk through some of that.

11:54: And then

11:56: once we go through some of the logistics around

11:59: navigation, moving around in here, then we'll start actually building out a card and

12:03: a dashboard.

12:07: All right, so the key takeaways are the left-hand navigation bar is to move

12:12: throughout your different dashboards. And yes, we have a few other ones here that we

12:15: use for demoing and samples,

12:19: but it's these first four that are really critical. And

12:24: then

12:25: that is how you're gonna move around throughout your dashboards. But on the top up

12:27: here,

12:30: this bar,

12:32: really shows you information or helps you work within the dashboard that you're on.

12:36: So let me explain.

12:38: The top left will have the dashboard name,

12:41: and then it says whether or not that dashboard is locked,

12:45: and then if it's set to a specific user. So each time that user accesses that

12:47: dashboard,

12:50: it shows only that user's information to them. Okay.

12:55: On the right hand side, it will say who owns the dashboard.

12:59: In addition, it will say how many folks it's shared with.

13:05: And then you'll see on the far right hand side,

13:07: your filters.

13:11: that displays the filter menu.

13:14: The quick

13:15: add here

13:17: is to quickly add a card,

13:19: create a new card. So this is add from existing, create a new one,

13:23: or assign

13:24: somebody to create a card.

13:27: We won't really focus on that much today because this is more about learning how to

13:29: create cards instead

13:32: of designating who's going to create them. How to share

13:36: the dashboard

13:37: versus how to share the cards would be down here on the particular card and we'll

13:41: get to that in a moment. And then on the far right you'll see a wrench.

13:45: This wrench is very similar to in Carrot Legal the pencil.

13:51: so the pencil means to edit in carrot legal

13:54: and here in analytics it means to edit as well but it's the wrench okay

14:01: all right so that's what this menu is here

14:03: and then of course you have your standard carrot legal dashboard menu up here

14:09: okay

14:11: All right, so let's go ahead and move on through how to share a dashboard. So let's

14:13: say that

14:16: our bookkeeper dashboard

14:18: is a dashboard that our partners or,

14:22: you know, even if I was a solo

14:25: practice and I wanted to get this report on a regular cadence, but I don't want to

14:28: have to log in.

14:31: That's a good reason to do scheduled reports. So if we go up to the top right, I can

14:34: send the whole dashboard to myself

14:38: on a regular cadence via email, or

14:41: I can send it as a one-off. So

14:43: this arrow at the top right,

14:45: I can schedule as a report.

14:49: And I can give this dashboard report that I'm going to be sending to myself or to

14:52: others a name so it's recognizable.

15:00: There you go.

15:01: Something like that.

15:06: And I can send it on a weekly basis

15:09: every Monday

15:10: at whatever time it is. Okay.

15:14: The start date and the end date.

15:19: And then

15:19: I can go ahead down here and say who I want it to be sent to.

15:24: If you start to add users

15:26: and

15:27: the user you're trying to add doesn't pop up,

15:30: that is because they've never clicked on analytics on their side menu.

15:34: So it's never taken their user from Carrot Legal and put it into analytics. And it

15:38: does that automatically whenever they click on it. So just have them click and then

15:41: they'll be available.

15:44: The other option is I do have a few folks that will tell me, hey,

15:48: my

15:50: partner's never gonna use this. It's just not for them, but I do need to send them

15:53: the report. How can I do that? And you can always have it sent to yourself and then

15:56: forward it to them.

15:59: But to get them to show up here,

16:01: they do have to click on that analytics from within their carrot legal. All

16:05: right, this is going to be an enabled

16:08: scheduled report

16:09: and I'll click schedule.

16:11: Once I schedule this,

16:13: if I ever need to turn off the schedule or update it,

16:16: I can always go back to this wrench up here

16:20: and say edit schedule reports.

16:23: There's that bookkeeper dashboard update.

16:26: On the right hand side, there's three dots.

16:29: I can edit

16:30: or just even disable it.

16:33: Okay. All

16:34: right, back to home.

16:39: And then again, up here on the top right, what if I just want to send this as a one

16:42: time thing?

16:45: I can send now,

16:48: select the user or add additional

16:50: and hit send and it'll send it out.

16:52: And the best part about this dashboard is when I open up the email that it sends,

16:57: it looks just like it's laid out here. So it's going to be all in the body of the

17:00: email.

17:03: Okay, there are individual reports that you can get

17:06: in your email as attachments. So that's great as well. But just given this example

17:10: here.

17:14: All right, if we were to take an individual card and share that individual card, we

17:19: just want to share that with somebody to email it to them, we can use the

17:23: wrench

17:25: and say, schedule as a report or send now has the same flexibility.

17:33: Okay, and earlier you saw me use the date

17:36: up here on the top right. Each card

17:39: will typically have a default

17:42: date and time parameter on them. So for instance, if you wanted to look at like a

17:46: billable amount, maybe it's set for

17:50: the current week or the current month, right?

17:53: But I can always go up here to this

17:55: date and tell it what timeframe I'm trying to look for.

17:59: Now, of course, if there's reports that

18:02: cannot factor in that date, then they won't be updated, but all of the other dates

18:07: would be. So let's just do this quarter.

18:10: There you go. It's really terrible for worked hours, but bear with me, I'm in a test

18:14: environment.

18:17: I promise I work more than that.

18:19: And then if you wanted to maybe go over to, let's give the example of responsible

18:23: attorney dashboard.

18:27: Here, if I wanted to take a look at a certain responsible attorney's

18:31: metrics,

18:33: I could go up to the left-hand side and beside filter views, there's a plus sign.

18:38: Here,

18:39: I can tell it I want to add a filter

18:41: and start to type in the name of that filter

18:44: and it will pop up.

18:45: So I want responsible attorney

18:47: and specifically I'm going to use

18:50: another co-workers that has some good data in it

18:53: here, Elizabeth. So I'm going to

18:56: apply this

18:57: and now it

18:58: filters down

18:59: the reports that it can filter down

19:02: down to

19:03: how many open matters that responsible attorney has how

19:06: are they by aging

19:08: etc okay

19:10: and you cannot leave the filters i found this out the hard way

19:13: you want to make sure that you get rid of them when you're done

19:17: because if you leave them

19:19: it leaves them for everybody else who's also accessing that dashboard so they may be

19:24: thrown off if they get in here and they're expecting to see 348 matters and they

19:26: only see 22.

19:29: so just kind of point out and just make sure that you're aware of the filters there

19:33: that once you set it it sets it for the dashboard

19:38: okay um

19:39: let's talk a little bit about

19:42: uh

19:43: getting started with if we wanted to create a dashboard

19:47: So the first place that I'm going to go

19:49: is I'm going over to the left-hand side.

19:52: And down here at the very bottom, you'll see Manage Dashboards. Again, this is only

19:56: for Insights customers. So you have to have Insights to be able to do this.

20:01: And you really need to be at an system admin level to do this.

20:05: So here on the Dashboards

20:08: or Manage Dashboards, I can say Add a Dashboard.

20:12: for this one I'm going to do an example like firm management

20:17: okay and

20:19: then I'm going to hit save and that puts it right here now I can move these around

20:24: I can drop it in up here wherever I want to okay

20:27: but I'm just gonna say there it is and then I'll hit done

20:31: well now by default

20:33: only I have access to that dashboard when I set it up

20:38: here's my dashboard it's a

20:41: blank clean slate, if you will.

20:43: And if I look up here on the far right,

20:45: there's only one person or one owner. And when I click on that, it shows you

20:49: that I am the owner.

20:51: Now I can share this dashboard with additional folks.

20:55: Sorry, let me go up and...

20:58: select them and hit share

21:00: and then they'll be shared so they can see this dashboard as well

21:03: from this point on now they cannot edit it necessarily

21:08: so i would have to make them an owner

21:10: but for right now i'm just going to leave it like so

21:15: Okay,

21:16: all right, and then on the left hand side, if I don't want people changing my

21:19: dashboards, I can lock it,

21:21: okay?

21:22: And it will tell you

21:24: they won't be able to

21:26: add or access or remove it, okay?

21:31: They can see it, they can't remove it.

21:35: All right, and next,

21:36: once I have my blank canvas, things I wanna point out here is the standardized

21:39: dashboards,

21:42: We don't want to edit and even then they are locked down so you can't edit them

21:47: really without just using filters.

21:50: But

21:51: for our dashboard, if that lock is not in place and you've shared it with others,

21:55: then they can edit your dashboard. So just making sure that you understand that.

21:59: If you ever create a dashboard and you need to delete it before it has any data,

22:04: up here, delete dashboard and it will take you through that process, okay?

22:08: However, if you've already added cards,

22:12: or I call them reports. If you've already added reports to your dashboard,

22:16: then

22:17: you may want to think twice before deleting. And we'll get more into that in just a

22:21: moment.

22:24: All right. So let's go ahead and talk about

22:28: how to

22:31: add cards to the dashboard once we have a dashboard established. So now we're going

22:36: to move on to just adding a card in here. So if I click Edit Dashboard,

22:42: then I can get

22:44: my blank canvas in a position to be edited.

22:48: Okay.

22:49: So after you've did that,

22:52: you'll see on the far right-hand side, and hopefully I'm going slow enough for

22:56: anybody who's trying to follow, that you're able to do this along with me.

23:00: But if you're not, that's okay. You can always rewatch and

23:05: do additional trainings if you need it.

23:09: So on the right hand side, you'll see this kind of

23:12: menu here where you can build out your dashboard.

23:14: One of the first things that I like to test out is I'll have you put,

23:18: grab this H here for header and add a header by dragging and dropping it

23:23: right here to your firm management dashboard. Okay. When

23:27: you do that, it opens up this

23:30: text field that you can type in and it says title.

23:33: So here I'm going to say

23:35: firm management.

23:38: Here we go.

23:39: Here's my

23:40: header. I can trash can it. I can move it around eventually.

23:43: Next, I'm going to go back over to that menu

23:46: and I'm going to grab this

23:50: layout option if i hover over it it will say layout and i can grab a layout

23:55: now if i just try to drag and drop like i did earlier with that header

23:59: look what happens it doesn't work

24:01: so what i found is if you go to the layout

24:04: and hover over

24:05: the header if you hover over the top line it'll put it above it

24:11: If you hover over

24:13: the bottom line, it'll put it below it. Okay.

24:16: So just kind of keep that in mind where you want to position this. And you might

24:19: have multiple

24:21: headers with, for each section and multiple sections in here. Okay. So let's just

24:24: start with this though.

24:28: So I'm going to drag and drop it on the bottom line. And

24:30: when I do so, it asks me which layout I like to go with.

24:34: And

24:35: usually the easiest one that I start to work with is this one right here in the

24:38: middle.

24:41: Okay, it has six boxes.

24:45: Okay, and that is it. So now I can go up to the top right and hit save.

24:50: I like to do this just to practice.

24:54: And that's what our dashboard foundation will look like to begin with. Next,

25:00: I like to go back up and click edit using our wrench,

25:05: edit dashboard, okay?

25:08: Again, you can stay where you're at, but I just want to show you where that's at in

25:11: case you weren't following

25:14: or you got lost. If I go back

25:17: to Carrot Analytics resources or a completely different dashboard and I say, oh, I

25:20: want to take a look or work on my dashboard.

25:23: Once you come into analytics, you're going to use your fly out

25:26: side menu here.

25:27: Scroll down, find the dashboard you want to edit.

25:31: Once on the dashboard,

25:34: you're going to click the wrench here and

25:37: hit edit dashboard.

25:43: All right, next, what I would like to test is

25:47: what if you want to use a card that already exists,

25:51: cards that Carrot Legal has already built out. So

25:54: cards, remember, are reports. So we

25:56: want

25:57: cards or reports that Carrot Legal has already built out. We want to add them to our

26:00: board just to try it out.

26:02: So if you go to add content,

26:05: we have add from an existing card or create a new one.

26:08: We're going to create a new one in a moment. But before we do that, let's start with

26:11: add an existing card.

26:14: And here, for this one, I'm going to go with

26:18: buildable or build and collected.

26:23: Let's do this one. Yeah, that's perfect.

26:26: Or not. Let me try that again.

26:31: Remove down here. We're going

26:35: to move it. Let's try a different one.

26:41: There we go.

26:43: So there we have a card that already exists. That's

26:46: how you can load cards that already exist. But if you're starting a card from

26:49: scratch,

26:51: you can go to add content and create new card.

26:55: When you do this, it's going to let you know that you need to save the dashboard

26:57: first.

26:59: And that's okay.

27:01: We're going to say,

27:02: yes, we would like to save and continue.

27:06: so here's how you kick off building out a card aka a report

27:10: so i'm going to tell it that i want a visualization

27:14: and then i'm going to tell it i want to select from existing data that means data

27:18: that's already in caret legal

27:21: once i do that

27:23: the first thing that pops up team is for you to select a data set so what does that

27:25: mean

27:28: that means for you to pick the table

27:31: of data that you're planning to work off of.

27:34: So if I was looking to build out a report about

27:38: matter specific information,

27:41: I might

27:41: pull up the matter ones.

27:44: and it'll show you all of them that have to do with matters. And there may be

27:47: multiple because let's be honest, Carrot Legal is built around matters.

27:51: So how do I know which one

27:54: I need? If you click on each matters data set here and you can click through them

28:00: and then over on the right hand side,

28:02: there is

28:03: details about what each data

28:06: set has on it. So this one has the matter number, it has unbilled standard time,

28:10: quantity, dollars,

28:14: no charges so this one has a lot of information about the time entries themselves

28:19: talks about things that have been billed

28:22: just lots of data in there right but if I go to

28:25: maybe matter contact this will tell you all about the contact on the matter

28:31: Contact type, what their role is,

28:33: et cetera.

28:35: Matter client, this gives you more specifically instead of contact,

28:39: what their client information is. So

28:41: that's what the data sets are. It's really about the table in carrot legal that you

28:45: wanna use to produce your report

28:49: or visualization, okay?

28:51: So in my example, what I would like to create is I'm going to demonstrate creating

28:56: two different cards with you. The first one

28:58: is going to be pretty

29:01: much how to see what hard costs have been paid by your client and what hasn't. So

29:05: we're going to create

29:09: a data set or I'm sorry, not a data set. We're going to create a report that says

29:12: that or tells us that information.

29:15: And in addition, we're going to create

29:17: a report

29:18: that talks to us about CRM leads.

29:21: And by talks to us, hopefully we'll be able to come up with our own story for it,

29:25: but that's what I mean. It's going to give us data and then we will need to

29:29: make decisions or work through

29:33: some of the obstacles that this data may present, okay?

29:37: All right, so to start, let's start with our hard cost example. That's our first

29:41: card we're going to create, our first report.

29:45: And for this one, our hard cost, what's been

29:49: billed but maybe not collected, what's been billed or possibly collected

29:54: is both about

29:56: invoicing.

29:57: So I know it's gonna be on an invoice

30:00: data set,

30:01: because it's about what's billed ultimately,

30:03: which would be what we have on our invoices.

30:06: And for this one,

30:08: I've already looked at this before, so I built this one out.

30:12: So I can go over here and look and just double check to make sure that it has all of

30:14: what I need

30:17: for hard cost information, and it does.

30:20: So this is the table that I'm going to use, or the data set.

30:25: And when we say

30:26: choose that data set we want to use it

30:29: the first thing that it does is it takes us into analyzer and don't panic

30:33: this is where you can build out your report set

30:37: but i'm just going to back step it just a little bit so as soon as you come in here

30:40: it likes to pre-populate data for you

30:43: and i'm not going to use this data so the first thing i'm going to do is right here

30:47: where you tell it what data you want to consider

30:51: i'm going to remove what they pre-populated for me okay

30:57: And then I'm going to do a few other additional items before I jump right in, okay?

31:01: The next thing is I'm going to make sure that this

31:05: menu is here. I'm going to make sure that

31:08: the data set

31:10: is there.

31:12: I

31:13: don't necessarily need the lineage or the data table, but just to point out what

31:15: they do,

31:18: this presents a table at the bottom so you can see what data examples it will give

31:20: you.

31:23: and this is just showing where that data came from i don't use that one either so

31:26: those two i don't use

31:28: filter and sort allows you to filter and narrow down

31:32: your

31:34: your reporting, if you will, while chart properties allows you to say, hey, make the

31:37: header of the chart red or

31:42: make a total into

31:44: field, et cetera. So this allows you to like format your chart specifically once

31:47: you've picked a chart type.

31:51: And that's what this is. So if I turn it off, it goes away. If I turn it back on,

31:55: it comes back up. If I turn this off, it goes away.

31:58: There you go. All

32:00: right. Same thing here at this one.

32:02: There you go.

32:04: Okay, and then your controls, I don't typically use this one, but it allows you to

32:07: save quick filters.

32:10: I actually keep that one off because I like to stick to the bare basics when I'm

32:13: training this.

32:15: Color rules,

32:17: I can go ahead and say after it goes over this dollar amount,

32:21: turn the field red.

32:22: So again, this is being able to go a little further than just the basic reporting.

32:27: Okay.

32:29: Auto preview

32:30: is just allowing you to

32:33: see

32:34: whenever you make changes instantly.

32:36: Okay, so I do keep that one on.

32:38: I don't do tool tips

32:41: and I don't

32:43: typically turn off the chart types. It's on in the beginning and I leave it on and

32:45: we'll talk about that in a moment.

32:48: I don't use annotations.

32:50: Beast mode we will technically use by doing the calculated fields over here and we

32:53: are gonna do one example of that

32:57: in this training.

32:58: Segments I also don't use.

33:02: and this is just going over

33:04: the default date that you plan to use on whatever report you're building out so if

33:07: is it

33:09: is it the last quarter typically the last year etc this year year to date

33:15: you can set that default date here for your report

33:19: okay

33:20: so i'm going to start with a very generic chart type this is my first step so once

33:25: you make sure that you can see what you need to see

33:29: up here

33:30: then i immediately go in on the right hand side after i've removed these different

33:33: factors it pre-populated for me

33:36: and i'm going to tell it

33:37: i like to start with

33:39: a chart

33:41: type here called tables and text boxes

33:45: this is like my very generic easy to use option

33:49: so i always just start here

33:51: and i want to use a mega table

33:55: And when that table pops up, I'm ignoring what it has there in the fields because

33:58: it's irrelevant to me.

34:01: And I'm going to start to look at the dimensions. So if you hear me say dimensions,

34:05: I'm talking about the far left-hand side here. Okay. And

34:09: I'm just going to collapse them so you can see what I'm talking about.

34:13: So on the far left-hand side,

34:15: you'll see dimensions. What are the dimensions? Well, earlier when we chose this

34:18: table,

34:20: we were making sure that it had all the different factors that we needed there,

34:23: right? Hard costs, et cetera. And if you look, that is this section here on the

34:27: left,

34:30: right?

34:31: Measures,

34:32: same thing, except these are actual measurements. This is where your hard costs are.

34:36: And then

34:39: calculated fields are what we actually create, okay?

34:42: They are calculations we create.

34:44: but dimensions are pulled from that data set and measures are pulled from that data

34:48: set that we chose and voiced by segment.

34:52: Okay, so what do I want to put on my chart first?

34:57: And the first thing that I'm going to put on here is, and just make sure I got

35:06: my

35:07: table and everything set up correctly, the first thing that I'm going to add is the

35:11: client name. So I'm going to go over to the left and in the search box, I'm going to

35:16: type in client and it pulls up anything that says client.

35:20: There, I'm going to select the client name by dragging it and dropping it up here.

35:30: Then the next thing that I'm looking for

35:33: is the invoice number. So I'm going to ask for the invoice number. There you go.

35:38: Drag and drop

35:39: to the next position.

35:43: Okay.

35:44: Next thing is the, so we know the client, we know the invoice number, and

35:50: then we want to know the issue date. So the date that the invoice was issued, issue

35:53: date.

35:56: That way we can filter by dates.

36:01: So there's our issue date.

36:05: And then we want our hard cost billed.

36:11: Hard cost billed,

36:12: be careful there, there's two of them that look very similar. As

36:16: well as our

36:17: hard costs paid.

36:21: And I think actually,

36:27: I'm sorry, we want the hard cost balance. That is right.

36:30: Hard cost balance.

36:32: Okay.

36:35: There we go.

36:38: Now, I don't

36:39: love

36:42: the issue date, how it looks. That date looks weird to me or it looks...

36:47: just not what I would see for a typical date when we're looking at reporting. So I'm

36:52: going to go up to this issue date filter up here for this dimension.

36:56: And I'm going to click on that down arrow and tell it instead of no aggregation,

36:59: which means like,

37:02: you know,

37:03: no standard way of setting it. Then if you click on this, I can tell it count,

37:09: right?

37:09: But instead I want to use no aggregation and I just want to change the format

37:16: and I'm going to use shorthand.

37:18: That's the dates that I want to use.

37:20: And I click into this blank space and there you go. Okay.

37:24: Additionally,

37:27: I want

37:27: the invoice numbers to be more of how many. Okay.

37:32: So if I go to invoice number, in our

37:34: application we use count

37:37: instead. Now

37:40: we can look at it this way.

37:44: Or if I go in and say no aggregation,

37:47: I can also relabel this to say

37:53: invoice number.

37:56: So that's allowing you to format this column here. I can change the labeling up

37:59: here, et

38:02: cetera, okay?

38:06: All right,

38:07: but there's one other thing. We don't just want to see what's billed and what the

38:10: balance is. We also want to see a column for what's been paid. So how can we

38:13: determine that?

38:16: How can we figure that out?

38:18: And that's where we're going to do a calculated field. It doesn't just give us that

38:20: option.

38:22: Okay?

38:23: So what we're going to do is we're going to go down, create calculated field.

38:28: And here we're going to say

38:29: hard cost balance.

38:35: minus hard costs actually

38:38: it's hard cost build minus

38:42: minus our cost balance

38:45: so we want them to subtract what was billed

38:48: minus the balance should tell us how much was paid and that's what I'm going to call

38:51: this column

38:53: okay then I go to the formula and I'm going to tell it the same thing

38:57: hard cost build

39:00: minus

39:02: hard cost, and if I just start to type it in,

39:04: here it is,

39:06: okay?

39:07: Validate it,

39:09: create the calculated field as long as it validates,

39:15: and it says beast mode created, so that's great.

39:17: I can close out of this now,

39:19: and down here with the calculated fields,

39:22: should see hard cost build

39:24: minus hard cost balance

39:26: and I should be able to take that field now

39:29: and drop it in right up here where I wanted it initially and actually

39:33: I'm gonna swap those around

39:36: yeah

39:38: so what was billed

39:39: what was paid

39:41: in the balance okay

39:48: Now, in addition, the hard cost build,

39:50: I don't want anything that says zero. If it doesn't have anything build, I don't

39:53: want it showing. So how would I do that? How would I get rid of all the ones that

39:56: say zero?

39:59: I'm going to take the hard cost build.

40:10: Let me go back to my measures here.

40:13: Hard cost build.

40:15: And I'm going to filter here. So when I do that, I'm going to tell it

40:23: is greater than

40:26: zero, okay? There

40:30: you go.

40:31: And now it only shows me things that are more than zero there.

40:38: All right, this is our quick report. So now I can go up on the top far right. And

40:43: actually before I do that, don't forget that you can relabel any of these headers to

40:47: what you want them to look like. And you can change the

40:51: chart colors, et cetera, using chart properties.

40:54: So I can go in here and say,

40:56: header row, let's change it to

40:59: not font, but color here. Let's go for orange, okay? And it does that.

41:04: Also, the invoices by segment

41:07: for this particular card, I'm going to say

41:15: something like this.

41:17: Hit save.

41:21: And then I'm going to tell it

41:23: of all time. That's great. And I can always narrow it down on the main page. But

41:28: save

41:29: and close.

41:34: And now we have this report.

41:37: How do I make it larger? How do I work with this? That's the dashboard itself. So

41:39: I'll click edit dashboard.

41:42: And then I can always trash can that. That makes this one larger. I can scroll

41:45: through

41:47: this dashboard

41:48: or I can even delete these two out

41:53: and drop this in.

41:57: Let's try this.

42:03: Then hit save.

42:07: There you go.

42:08: And now I can scroll through this or I can schedule it as a report, do it as an

42:12: attachment, whatever I need to.

42:16: Okay, let's do one more

42:18: and that should do it for you. So this time I'm just removing that card off of here.

42:22: By the way, right now, if I was to go in and delete the dashboard, it would let me

42:25: know

42:29: that

42:31: it can't be undone.

42:32: But when I delete it,

42:34: I am also

42:36: permanently deleting the dashboard.

42:38: Any of the borders, the titles, headers will be permanently deleted. And it will not

42:42: delete the cards, but it will remove them, right? It's deleting it. So it makes you

42:46: type in,

42:50: check off these boxes and type in confirm before you actually hit delete.

42:54: Little fail-safe there. That's pretty nice.

42:56: If you go to the cards

42:59: and delete the card, it's gone.

43:02: You would have to recreate it.

43:04: So that being said, I typically recommend using remove.

43:09: In addition,

43:10: we should always go in and

43:14: I'll expand this one so we can see it. And let me see here. Let

43:22: me

43:24: get to what I'm trying to go to.

43:35: Give me two seconds here.

43:39: Card details. And let me see if this is the one that I want.

43:43: Yes, if you go to, I'll do that again so y'all can actually see what I'm doing here.

43:49: If you go to the card

43:50: and expand it,

43:52: it looks like this when you expand it.

43:55: But I go up to the far right hand side to this card options

43:59: and go to card details. I can lock

44:02: this card

44:05: so that other people can not make changes to it. That's very, very important because

44:10: even if you just create this report and you leave it on your dashboard

44:14: and you don't give people access to your dashboard,

44:18: they can still go on their own dashboard and say they want to use this card.

44:22: And if you don't edit, I'm sorry, if you don't lock this card,

44:26: they could actually change

44:29: the foundation of your report.

44:31: So

44:32: very, very important when you create these reports, always go in,

44:35: do exactly like I just did and come over here and lock it, okay?

44:41: and that should do the trick for you. All right,

44:44: but once it's locked,

44:47: somebody else decides to add it to their dashboard or use it that's fine it's just

44:49: they won't be able to make changes to it

44:52: if they want a report just like yours but a little bit different they can go and

44:57: if they have access they can click on that wrench and say

45:00: save as

45:01: and copy this to their dashboard so they would select their dashboard

45:06: here

45:07: rename their card to what they want it to be called on their dashboard it should not

45:11: be the same name as it already is they should always rename

45:15: a card

45:16: and then they would hit save and

45:19: that will copy it to their dashboard but it's save as so it's a completely different

45:21: report

45:24: um

45:24: well not completely different but it's not going to impact yours and they can edit

45:27: their own okay all

45:30: right let's do one more here like i said let's go ahead and go to edit dashboard i'm

45:34: going to add another card from scratch create new card

45:39: And here I'm going to select visualization,

45:42: existing data.

45:43: This time I want to do this one for my CRM folks, people who handle potential leads.

45:49: And what I want to do on this one is get an idea of how many

45:55: leads we convert for each practice area,

45:58: right? Not just how many leads we convert,

46:01: but how many do we do for family law versus et cetera, right?

46:06: So I am going to use a lead card.

46:08: And you can look through these and see which one has the information you need. For

46:11: me, I just need status and the practice area.

46:15: So I know view of lead is the one that I need. I already did the research on this.

46:18: So that's going to be my example.

46:22: And for this one, I know I typically tell you that I use a

46:26: chart.

46:27: But I'm going to get rid of these pre-populated ones. I don't need that.

46:31: And I am going to go with a

46:34: pie chart.

46:35: like this,

46:36: okay?

46:38: And again, ignoring the data that they

46:41: default for me,

46:42: I want

46:44: my

46:45: practice area as

46:47: well as my statuses. So

46:49: first thing

46:50: is status. I want to filter down

46:54: by status. So I'm going to put it into the filter section, click on it, and then it

46:57: says, okay, what do you want to filter? I only want

47:01: who we've retained, like who we've actually converted and moved forward with.

47:06: because I want to know how many for each practice area we've actually moved forward

47:08: with.

47:10: And then I need the practice area, so I'm going to grab it from over here and drop

47:14: it in up here.

47:19: There we go. And I really want it to update

47:23: with the data. Okay, one more time. Practice area, this time in the pi value,

47:28: and now it should update.

47:30: So it says that

47:32: we have,

47:33: at a family law, we have five,

47:36: and I can go through all the different examples here, but there we go. Okay,

47:41: remember if you want

47:44: to change out the colors or anything like that, you can do so. If you want to

47:50: change out

47:51: any of the data labels, you can do that.

47:54: ultimately that is my quick and easy

47:57: crm

47:58: and if i go up to the far right

48:00: save and close

48:04: let me actually edit this one more time and i want to give it a different name so it

48:06: doesn't get confused with anybody else's

48:15: there you go practice area conversions okay

48:19: And that'll be it. So save and close.

48:23: And now out on my dashboard, I can see that.
