Tasks Overview in CARET Legal

00:07: within CARET Legal. You'll learn how to navigate, create, and manage tasks effectively

00:15: This video is a task overview.

00:21: In this video, you'll learn all the various aspects of our task management feature

00:26: in CARET Legal.

00:28: To begin, let's look at our dashboard.

00:33: Our default view will include a task widget. From here,

00:36: you'll see a personalized daily readout of your various tasks.

00:41: You can create tasks for yourself and others easily using the plus sign in the teal

00:46: banner.

00:46: This option is also repeated with our quick add function found in the top toolbar

00:51: on the right side of your browser.

00:56: In creating a new task, you'll be required to provide a subject to name the task.

01:01: You'll see on the right that by default you are both the assignor and the assignee

01:06: and

01:07: you can modify these based on your needs.

01:09: Your description box is formatted text, list, and link friendly and great for spelling

01:14: out the instructions.

01:16: Down below,

01:16: you'll see three tags.

01:18: Priority

01:19: – this will flag your task as a priority item with a yellow

01:22: star. This will also keep it floating at the top of your to-do list until

01:26: it's deprioritized or completed.

01:29: Set as a phone call, we'll add a magenta phone receiver before the subject line in

01:33: your task list to showcase that this is a type of action.

01:37: And last, private.

01:39: This is only allowed for situations where you are both the assignor and the

01:43: assignee, but will allow you to still track the task without anyone else having

01:48: visibility.

01:50: You'll see a color wheel here down below.

01:52: This is helpful in indicating a status or possibly a phase.

01:56: This color wheel is user defined.

01:59: Next, you'll see a tags section.

02:03: This will allow you to create and use various keywords or phrases to better identify

02:07: the task at hand.

02:17: On the right side of your screen, you'll also see a due date field.

02:20: This will contain today's date and 5 p.m. as the end of business

02:25: in your time zone. This can be modified based on your needs.

02:29: Beneath you'll see a Matter Leads dropdown. Here you'll

02:32: be able to look up open Matters as well as Leads and make a connection.

02:38: Type in a couple of characters to see a filtered view of this list.

02:43: Next, you'll see a status drop down. All tasks will start by default as not started

02:48: as a status and then can be progressed from there.

02:52: It should be noted that this menu is not customizable.

02:56: And last here on the bottom right, we have our add a reminder section.

03:01: This is where you can add multiple reminders for all parties by text, email, or

03:05: browser pop-up, different formats, and different timings. You can have multiple

03:10: reminders.

03:12: Up at the top, we have a secondary tab for attached CARET legal docs. This will

03:17: allow you to look at a matter or lead and pull through one or more documents that

03:21: are relevant to the task.

03:25: There is also an extra tab here for any recurring task events.

03:28: This is great for anything that you do on a recurring basis, run certain reports or

03:33: take certain actions, and indicate what their interval and end date are.

03:39: And last we have our subtasks and task templates. This will be covered in more

03:44: depth in a separate video,

03:46: but this will allow you to create a standing list of task templates or subparts to

03:51: this larger task and then include them as part of the overall task.

03:56: This is really a helpful tool in order to help

03:59: make sure that there is consistency in following through certain steps to a specific

04:04: task. Once

04:06: All information has been provided. Click save and close or save and new to finalize

04:11: your task.

04:12: In addition to your quick ways for creating a task, you also have a full task

04:17: section using the menu on the left of your browser.

04:22: Use the icon with the checkmark

04:24: box to access your full task list. This

04:26: is the same information provided in the widget. However,

04:29: this allows you to see it in full screen.

04:34: From here, you can run reports, manage your tasks, and search tasks assigned to

04:39: others.

04:42: While this gives you preferential treatment as the logged-in user, the first filter pill

04:46: expands to a menu allowing you to see tasks assigned by you to somebody else, anything

04:51: pertaining to your matters, and all user tasks.

04:56: Tasks can also be found as a tab within every matter or lead.
